The University is seeking expressions of interest regarding the supply of the Services. The purpose of this EOI is to describe the University’s current environment regarding the provision of the Services and to seek a range of proposals including information on hospitality options (current and potential future) as well as key information on skills and experience in providing the Services. The standard of the Services reflects on the reputation and standing of the University across a range of activities and therefore the University places importance on selecting a supplier(s) it has confidence can deliver to the level required. The University anticipates this EOI will not result in the awarding of a contract however refer to Section C, EOI Conditions for the rights reserved by the University.
In order for tenderers to gain an in depth understanding of the University’s current environment the University will host an Open Day where businesses will be taken on a guided tour of the key areas to view and have the opportunity to ask questions. Refer to Section C of this document - EOI Questions and Open Day.
After the EOI, it is anticipated there will be a second tender process. At that time the University is likely to award a contract(s) and a minimum three year contract is anticipated. The University will also consider an additional two years if the supplier demonstrates over the initial period of the agreement that they are continuing to deliver value to the University.
Once the contract(s) are awarded, an Observation Period will be arranged prior to full implementation. This is a very significant tender for the University and confidence in the implementation and change management (including working with potential incumbents, staff, students and the general public) needs to be taken into account.
There is a requirement to have both the Academy and the Halls implementation completed at the beginning of the year. This concept of annualisation of implementation may be challenged.
As noted above, the University places importance on the standard of the Services because of the effect it has on its reputation. It is envisaged that the successful respondent(s) will have extensive experience providing the Services to organisations of similar size to the University and, ideally, tertiary institutions. The ability to respond to urgent requests on short notice may also be influenced by locality.
