Overview

The purpose of this Request for Information (RFI) from the University of Waikato is to investigate the market place for Capital Asset Management (CAM) solutions in order to assess the best direction to take for the University to manage a portfolio of capital assets across multiple asset classes.

The RFI will help the University decide if it should pursue one of three directions for its enterprise CAM process:
1. Functional Approach – select best of breed point solutions for CAM tasks
2. Asset Class Approach – select best of breed for asset lifecycle management per asset class
3. All-in-One Approach – find an enterprise scale solution that can cater for all asset classes

The main asset classes in scope of the RFI include:
- Facilities (Land, Buildings & Infrastructure, & Lease Management)
- Hardware & Equipment (IT, Audio-Visual, Research, & Teaching)
- Vehicles (all types)
- Digital (Systems, Software, Other Digital media)
- Intellectual Property

The solutions sought would preferably be cloud software-as-a-service based and have mobile app capabilities for selected tasks. The solution will also need to have integration points to existing procurement and financial systems, as well as to the University’s business intelligence platform.

From the RFI, an evaluation of responses will take place with the aim of shortlisting preferred suppliers, who will then be invited to demonstrate their solutions. Once the University has finalised its strategic direction and shortlist of preferred suppliers it is likely that a Request for Proposal or Quote (RFP or RFQ) will be sought from those suppliers, upon which final selection and decisions will be made, and a project to implement will be formed.
