Kia ora,

Auckland Council is currently developing a business case for reviewing its political meeting technology and processes, including report writing, meeting management, information dissemination, Hearings meeting support, Elected & Appointed member communications.
We would like to streamline our current systems for a more cohesive solution to support our political processes to enable staff and Elected and Appointed Members to do their role more efficiently.
As we are the largest Council in Oceania, we want to lead the way in which political meetings, hearings and workshops are run, and we look forward to know how you can help us reach that goal.

What is the status quo?
We are currently using a combination of systems, that includes, off-the-shelf, customised and manual processes.

Why are we engaging the market?
- Different service delivery models are being considered during this business case development phase. In the form of a Request for Information we are looking for suppliers who can work with us to provide thought leadership and an opportunity for innovation & change.
- We want to explore available options in the marketplace, and interact with a range of solutions, from out-of-the-box to customised and/or creative solutions.

What will be the outcome of this engagement?
To understand the different options that are available and determine our next steps in our Governance Technology roadmap.
The outcome of this engagement may lead to a formal procurement process of a SAAS solution and/or development partner/s.

How to participate in the RFI?
Registration: Interested parties are required to fill, sign and submit the attached Participant Acknowledgement Form to our contact person via email by 11 August 2023, 5:00 pm (NZT).
Registered parties will receive the RFI document package which will include further instructions.
